Sub plan template and emergency sub folder
Fill in a sub plan for tomorrow, or build an emergency sub folder once and keep it ready: class information, schedule, procedures, seating and contacts. Print it. What you type stays on your computer.
A plan for one day with a substitute: the schedule, what to teach, the routines, who can help and who to call. It fits on two pages. Print it and leave it where the sub will look first.
| Time | Subject or activity | What to do |

How to use it
- Choose the sub plan for a single day, or the emergency folder for a day you can’t plan ahead.
- Fill in the boxes with your own routines. A box left empty prints with ruled lines, so you can write it by hand.
- For the folder, each section starts on its own page. Print all of it, or print once and update by hand.
- Add the date, check the schedule, and press Print. Leave a copy where the sub will look first.
Ideas for class
- Build the emergency folder in August, print it, and give a copy to the office and one to a teaching neighbor.
- Write down the small things a sub can’t guess: how you get attention, who knows where the markers are, where the class lines up.
- Use the seating chart page with first names only, and update it each time you move seats.
- For a planned absence, use the sub plan and attach the day’s lesson materials with the page numbers written on it.
- End every plan with the note page, so you come back to a short report of what happened.

Questions
What goes in an emergency sub folder?
Whatever a stranger would need to run your room for a day with no warning: a welcome, where things are, the schedule, arrival, lunch, dismissal and attendance routines, a seating chart, the names of students who can help, who to ask, and a page to leave notes. The folder here has a section for each.
What does it say about fire drills and emergencies?
Nothing about what to do. Your school’s own emergency plan decides that. The folder has boxes where you write where the sub will find the plan and your exit route, and who to ask.
Should I put student details in the folder?
Be careful. Use first names, and keep medical and learning information with the office if that is your school’s rule. The prompts say so. Check your school’s policy about what a substitute should be told.
Is what I type saved on your side?
No. It stays in your browser on this computer, so the folder is still there next time. It is never sent to us and never put in a share link.
Can I use this on a phone or a tablet?
You can fill it in, and print from a computer. If you want a copy to send, use “Copy as a table for Docs” and paste into a document.
