About this sheet

A meeting without an agenda drifts, and a meeting without notes is forgotten. This page does both jobs on a single sheet: the agenda is a table with a topic, a person and a number of minutes, so the total fits the time, and the foot of the page holds what was decided and who will do what by when. Use it for a grade-level team, a staff meeting, a parent committee or a club. The headings are plain and the writing space is large. It holds no information about students: write names of adults who attend, and leave anything about individual children to your school's confidential process.

How to use it

  1. Write the meeting, date, time and place at the top, and fill in the agenda table before the meeting begins.
  2. Add up the minutes in the last column to check they fit in the time, and cut a topic if they do not.
  3. During the meeting, write decisions in the box and action items in the table, with a person and a date for each.

Five ideas for class

  1. Send the agenda a day ahead, and ask people to add a topic. A shared agenda makes a shorter meeting.
  2. Put the most important item first, not last. The first fifteen minutes are the best of the hour.
  3. End by reading the action items aloud, with the name and the date for each, so no one leaves unsure.
  4. Assign a timekeeper and a note taker at the start, and rotate the roles from meeting to meeting.
  5. File the pages in a binder by date so that a year's decisions are in one place, and the next meeting starts from the last.

Questions

Can I use it for a parent-teacher conference?

Not for an individual child. Conference planning belongs in your school's confidential process. This page is for adult meetings about the team, the school or a committee.

Is it editable on screen?

No. It is a printable for pen and paper. For typed notes you can copy, use the fillable templates on this site.

How many topics fit?

Six in the agenda table and four action items. Use a second page if you need more.

How do I save it as a PDF?

Choose Print, then pick “Save as PDF” as the printer. Only the sheet prints: the page around it is hidden. You can also save a sheet as a PNG image under the preview.

Can I print it in black and white?

Yes. Switch to Black and white beside the sheet: fills turn white and lines turn black, so it saves ink and photocopies cleanly.
